Email Etiquette


Email (Electronic-Mail ): Messages distributed by electronic means form one computer   user to other or more recipients via a networ. 

Some rules to follow:

  • Insert the email address as the last thing you do before sending

          This technique will save you accidentally sending the message

  • Triple check that you are emailing the correct person

  • Avoid "Reply to All" Especially in a large company

  • When you select the contacts you are emailing you can place them in one of the three fields


  • Keep emails short

  • Explain why you forward the mail



  • Use professional greetings instead of colloquial expressions.

               1. Good afternoon, Mr Maneesh
               2. Hello, project team

  • Ask before you send huge attachments and compress files you send



  • Concise and clear subject line will achieve wonders (and help you get read)



  • Use only the classic fonts : Arial, verdana , Times New Roman variants with black ink

  • Writing in all caps is like shouting / rude


  • Always end with a short classy 'thank you' and signature block
